After Shortlisting potential supervisors, you must study their research briefly and then email them and express your interest in working under their supervision.
General Guideline for Emailing a Potential Supervisor/ an International Professor
The subject of the Email:
The subject line in the email is the most important part of the mail. The subject must be clear and concise. Many professors don’t have much time to read all emails they may skip any received mail if it has no subject or it seems not interesting. For example, if you want an acceptance letter for a Chinese Government Scholarship you may write “Request for Acceptance Letter for Chinese Government Scholarship” or “Interested in Pursuing my PhD under your Supervision in Fluid Dynamics” etc.
Body of Email:
In the body portion of the email take care of these things.
Start with addressing the professor i.e. Dear Professor ABC. Always mention the name of the professor, and never send an email without the professor’s name as it will have an impression that you are just spamming.
In the first paragraph of the email write your short introduction like I am XYZ, I have completed my Bachelor in ABC from GHF university with CGPA 4/4. The title of my project was” …..”.
In the Second paragraph of the email write a connection between your and your professor’s research interest. For “I have visited your profile and found that you are interested in XYZ and I have also worked on a similar project. We can further study ABC which will help to solve many ongoing crises in the field of technology”.
In the third paragraph, write professor that you are interested in working under his supervision “I have briefly studied your research papers and found that my research interest coincides with your interest. It will have an excellent opportunity for me to pursue my studies under your supervision. I am looking forward to hearing from you. I have attached my CV, research proposal, and academic transcript with this mail. If you would like to have additional information, I would be happy to provide it.”
End your email with regards like Sincerely, Best Regards, etc
Attachments with Email
The attachment Section is also important. Don’t forget to attach your CV and academic transcripts while sending an email to a university professor for an international scholarship or acceptance letter. If you have IELTS and Research proposal in line with the professor’s research interest you must also attach it.
